The volunteer sheet doesn't cover the full timeline and tasks involved in prepping the brewhouse and yard, so let's chime on the following timeline and tasks to let us know when you're available and what you can offer. We need all the help we can get, so jump in anytime to lend a hand.
Thursday 6-10pm - Cleaning, Inventory, Planning
Friday 6-11pm - Cleaning, Cooking, and Set-Up
Saturday 1-4pm - Cooking, Set-Up, Final Touches
On-Site Tasks
- Cleaning is easy, you can show up whenever and just clean
- Inventory of supplies, determine what we need
- Plan layout of the space, move shit around
- Set up tents, bars, and tables
- Decorating, lighting, and sound
- BevTech: prep keezer, get taps ready, cooling and carbing
- Food prep and serving area set-up
Off-Site Tasks
- Chuck thinks we should get dry ice (thoughts on cooling?)
- We need firewood (gotta clear with finance first)
- Get friends to sign up for a Trial Membership and join us :)
Brewers: Ideally we want your beer on site Friday night so it has time to settle. However, we're limited on fridge space. Serving warm badly carbed beer is bad, hopefully our BevTech types will chime in on how we can all make sure the beer pours clear and cold with just the right amount of bubbles at showtime.
Foodies: Looks like we have people dedicated to cooking, let's make sure we have everything ready to serve at 5pm Saturday. We will need help setting up a serving station and figuring out how to keep everything warm through the night.
Set-Up Volunteers: It would be cool to get a head start on setting up the yard Friday night, but rain may dictate otherwise. Please keep in mind if we hold off till Saturday, we really need to start by 1pm to pull everything together and not look sloppy.
My idea for dry ice is to place it in the big dead fridge then we could use that to stage kegs for serving.
Also it would not leave a wet mess when we are done...
Is anyone driving down to the brewhouse tomorrow evening/night or Saturday before the event? I just planned on cabbing it down there with my two kegs and accoutrement but a ride would be very much appreciated.
I plan to drop my bottled beer off tomorrow morning and will leave it in the ferm room. I won't be able to help with set-up until around 1:00 on Saturday and will bring my salsa at that time.
So the event page and front page show 4 - 10 PM, but we're only looking for signups for during event items from 6 - 10. When does the event start?

I plan on cooking some taco meat (marinated, slow-cooked pork: puerco pibil) for the event. Anyone know when a good time to bring it would be? I need to plan ahead as it takes several hours to cook and I want it to be as fresh as possible.
I was actually wondering the same thing about the start time. It's a bit confusing....

Jim, I can give you a ride. I work right by the brew house so I can pick you up to drop off your kegs tomorrow or tonight. And I can pick you up before the event on Saturday also. Let me know if you still need a ride.

Looks like we're probably just going to keep the beers outside to keep them cool until Saturday and then use tubs/ice for serving.
We have those janky blue tubs which should work butt me know if we'll need more. If we have to buy any more, I'd suggest receptacles with straight sides instead of slanted (like the blue tubs).
Every 5 gallon bucket in the brew house works great for kegs., we have to have about 20 of them. Throw them on ice at noon and the beer will be cold all day.
I am all for buying firewood. I believe Mark bought a pallet from Costco last time. Maybe he can pick up a ton of ice as well?

I did not create the volunteer spreadsheet. I have advertised 4pm start for a month. We decided to open early at 4pm to spread the crowd out.
My timeline is based on the reality of the situation. We need the space built out and decorated by 4pm. We'll have some wiggle room up to 5pm to get all the beer and food ready. I think we should serve the tacos around 5:30-6pm, and keep food service going till 10:30.
Salsa and Guac people should have their stuff onsite by 3-5pm.
Peaople bringing their own hot dishes can come in around 5-8pm.
The club is buying steak, pork, and chicken (10lbs each.) We have volunteers for the pork and chicken. I'm not clear what the plan is for the steak. i would prefer it grilled on site at the party. I want to grill corn, ramps, and peppers at the party. I even prefer my tortillas grilled. The aroma will be nice.
I will bring my CO2/regultor which has two disconnects; I also have two picnic taps.
The steak is coming home with me tonight to get treatment in the smoker tomorrow. I thought I had updated the sheet, if not I'm sorry.
I also have a large CO2 tank that I can bring, but the regulators are mounted to my kegerator and so it would be only the tank. Let me know.

Great. Do we just have one grill there? Should Conrad bring his extra grill? Do we need charcoal and who is getting it? It looks like ChucK, Jamie, and myself are set to man the grill.
Just FYI, organizers, it looks like I'm dropping my beers off tomorrow late afternoon so I will stick around and get done whatever needs to get done. I'm also available all day Saturday. I'd be happy to take care of whatever you set me to.
Things are looking good, getting more Trial Membership signups, and we should have enough boots on the ground for setup.

I got a 1/4 face cord from a place on the near south side. It was $65 for a 1/4 face cord I think. Might be a bit cheaper now that it's off season, but I can grab another one tomorrow. It's going to be 67 and light out for most of Saturday's event, do we want a bonfire?

Heads up for set up crew, the fridges along ferm room by the backdoor create a real pinch point, it would be helpfull to have that area clear like we did for Stout Night. That might not be possible, but we should consider how to open up the 'hallway' between the brewhouse and tent city. Also, we have a ton of refrigerators fucking up the layout and flow of the space.
Last night I could only find half of the string lights, anyone know where all the strings of clear lights went?
I'm not too sure we're in a position to move those fridges in the hallway with beer in them. IMHO, it would preclude people from hanging out in the hallway (and people have caused a choke point in that hallway in the past).

Yeah, it looks like there is no way to clear the hallway. It did wind up being a little inefficient with people hanging out there at Stout Night, but that was because we made that space nice and comfortable. I do want to avoid giving our guests claustrophobia and the feeling their in an episode of Hoarders ;)

Ken dropped off two yesterday. I beleive two are coming tonight. We should wind up with the same configuration as Stout Night.
Btw, tents will only be set up if we need them. We are setting up CHAOS's big tent tonight, but the rest will be only set up if it's raining...

As usual, I will print a couple copies of the event membership list before I head down and then as I get notification of new memberships after I've already printed, I will add them by hand to the bottom of the list.
