Conference Logistics Meeting on Sunday?

I'm getting kind of nervous with our lack of direction for the AHA conference.  How does everyone feel about meeting on Sunday, March 23rd, to iron out all the details?  1:30 work?  

We'll be representing the club, so even if you aren't attending the conference, please feel free to attend or provide input.

OK, here is a summary of what

OK, here is a summary of what we discussed yesterday regarding the Conference.

I've attached a spread sheet to update if you are going, if you have a car and who is riding with you, and if you have a room, and who is rooming with you. Also a beer list has been created and we have (10 gallons of open slots for beers) if people want to contribute in addition to what we already listed/proposed.

There is only 10 weeks till the conference, so to get all this beer made in time for the event, we will probably be brewing all of April... and we need to get the power of tower up and running to brew the Clubs IPA collaborations. We have suggested that some of our award winning beers be made and have outlined that on the list, if those listed can not be made, please inform us now so we can reconfigure.

We can do that, but we currently only have 4 taps and we were going to bring only 100 gallons, We can change that to 10 gallons of each of those brews and be at our 100 gallon mark, but then we would need to invest in another 2 taps, to add to our bar that Chuck was going to build.

Mark, you could easily walk to the house I grew up at from there. It would also be walking distance to my best friends house, where I am hoping to put Chuck up at.

Its also close to a couple of GR's best bars. You could walk, it would take 20min or so.

Just a heads up. I noticed a few people signing up for bringing kegs, which is fine, but we currently only have 4 taps that we were going to bring. If we want to bring more then need to buy those and make sure that the structure that Chuck is building is big enough to cover them. Or we could route kegs out and tap them at different times during the party.

Aren't we planning on bringing our jockey boxes? We have enough for 4 or 6 taps through those I believe. In addition to the 4 tap bar chuck is making.

One of the jockeys is mine. I would perfer it does not get dismantled. I can get another 2 tapper in GR for us to use. I think picnic tappers on ice work just as well as any box. That being said I would support club funds for making a mobile bar. That would be useful for all parties too.

I thought I recalled seeing

I thought I recalled seeing it listed somewhere that our booth would be 10x10.  We should get a layout going, like we did with the brewhouse buildout.  Start laying out where items will be going and what not.  These booths are not huge, so we should think about what we can fit into it and what all we want to do.

One of the biggest things I noticed at last years conference was that some booths didnt have great flow.  They had cool themes but it was impossible to get into and out of.

I watched several of the videos from previous events.  Some very interesting booth setups.  They definately appear to be 10x10 with curtain backing.  Some clubs brought pop up canopies.

Thanks for posting that vid Canuck. I encourage everyone to watch it to get an idea for how club night works. I took a few things away from the video.

Is 20 kegs going to be enough? Alot of the clubs were talking about having 40+.

We need to have our tap list up high along with club signage so people can see it.

We shoud make sure we have some club barrel aged beers and specialty stuff to really show off our proudest beers.

It looks fun as hell and can't wait to be there repping CHAOS!!

So I was looking at

So I was looking at transportation as some people mentioned taking the train to Grand Rapids.  The train seems a little flaky, one direct or you get on a bus to a train connection.  Roughly a 4+ hour journey.  I selected the only direct routes with no transfers.

Depart Chi Tuesday or Wednesday 4:55 pm, Arrive GR at 9:55 pm $31.00

Depart GR Sunday at 7:40 am, Arrive Chi at 10:38 am $31.00.  TTL $62.00

I then looked at Megabus.  There schedule does not go out to June yet, so I booked for May.

Depart Chi Wednesday at 6:30am, Arrive GR at 10:55am $1.00

Depart GR Sunday at 12:05pm, Arrive Chi at 2:15pm $28.00.  TTL $29.00

Nancy and I are meeting on

Nancy and I are meeting on Thursday to plan out some of the logistics for the AHA conference.  If anyone else would like to be part of the planing for Club Night, please let us know.

Right now we have a few items that we were able to decide on at the monthly meeting...along with some things that need to be further planned out.

  • Booth will promote the club.
  • Construction shroud to cover two jockey boxes (chuck).
  • Construction of self-serve barrel station w/8 taps (David).
  • Develop a pamphlet describing what/who we are.
  • Decide upon booth layout and design
  • Determine logistics for getting kegs and booth elements to GR
  • Identify CHAOS members that will be working the booth and where.
  • Determine # of beers to be serving and how

Thats a start.  After Thursday, Nancy and I will have a better idea and some of the logistics.  Again, if you can help let us know.

So I looked at the

So I looked at the spreadhsheet last night and only counted 8 different members bringing beers to the NHC. In my opinion this is the largest and most important event our club will have participated in and from the looks of it now we have VERY LOW participation. This is a HUGE oppurtunity for our club to show off who we are and what we are capable of. I know we have a lot more than 8 members going up to NHC and really hope some other members step up and bring a keg of something they are proud of. Even if you are not attending it would be great to serve other memebrs beers at the NHC so please if you have a beer that you are proud of or a special keg, PLEASE get it on the spreadsheet so we don't show up with a lackluster tap offering. This is coming up on us QUICKLY!

Thanks James for stepping up and donating a keg. To everyone else in the club who is either going or isn't going but has been a member for a while you a missing out on a huge oppurtunity to represent your club on a national level. It is honestly embarassing that we willl be going up there with beers from 8 or 9 members out of a club of more than 50 active members. We always talk about getting recognition and respect from our peers but when we drop the ball on an event this big it is hard to pinpoint our issues. Shits weak bros.

We're definitely on the right

We're definitely on the right track now as a club priority- and effort-wise but this was not a visible priority more than a month ago, Kyle, and now it's our usual 11th-hour plea - or chastisement - for beer/help like other events. I'm sure we'll have more people and beer representation next year.

I think I have 12 bombers of Elixir (and between what's left at the brewhouse after Stout Night and what I have at home, I think I can scrape together 12 bombers of KBS) if you want it. I have nothing else to offer.
