Just so everyone is aware, I've been working on some functionality to handle group buys. I'm going to try and hack it out in the next couple days while I'm on PTO for this one but we can always use Google Docs like in the past. Either way, we need to get a price sheet and I'll need help importing it into the site. That will most likely take someone putting the price sheet in Excel format and I'll bulk import it.
So once we get a catalog, what I need is for someone to put together a spreadsheet with all of the products in something similar to the following. I'll be ready with a system to handle bulk buys online. Its done, I'm testing right now. I'm also trying to add some split management functionality but that may end up being a future feature.
We have a spreadsheet from previous grain buys, but the prices are out of date. I can get an updated price sheet on Thursday and email it to whomever can parse the PDF into an excel sheet.
Also, if someone has a truck...local pickup is much cheaper than a pallet with delivery and lift gate.
Does anyone know how they calculate how full a pallet is for non-grain items? I know we haven't allowed those in the past but I want to include that functionality for future proofing.
My company just bought a new flat bed truck with a lift gate that can fit 6-7 pallets on it. Depending on when and were the delivery can be picked up i can probly use it for the day.

Pallet pricing is only for shipping. If you request local pick up...you go and pick up whatever you ordered. There is no minimum, but of course you need an account with CMG. An account was set up for CHAOS, but mark would have to confirm if the account is still good.

No idea, what I'd like to get a definitive answer on is for the things that aren't sacks of grain, how should we calculate whether the pallet is full or not. I believe that we've used 52 sacks per pallet in the past for the other buys but it would be nice to be able to include other stuff in that too.
Josh - They are open 9am to 5pm and do not have pick up available on weekends.
Lucas- It is 42 "items" to a pallet. This is for sacks of grain and whatever else. They will often bundle smaller items like oak chips into a box. The box counts as one item. Larger items like pails of chemicals and what not count as a single item towards your 42.
The pallet fee is $65. There is also a fuel surcharge of 25% (basically 16.25 per pallet) + 25 dollars for a lift gate...which is needed without a fork lift. If you require the drive to call ahead, its another 15 dollars.
Really makes a whole lot of sense to do local pick-up...
If its possible to arange for someone from the club to accept the pick up and like leave it in their parking lot then wait with it untill i can get there with the truck leaving my office at 4-5. Then i can have the lift gate with a pallet jack.

It took us a year to go through two pallets. So if we dont want that to happen again we should buy less grain. We are already limiting storage so that should reduce some demand. Also if the order sheet requuires friend or better thatr will reduce it more.
To build on what James mentioned above, does everyone have a place to store the grain they are ordering? Remember, even people with two storage spots will have a lot less space than at the old brew house. We cannot keep bags of grain onsite for more than a day (rats, mice, etc) and I think that is kind of pushing it. Please be sure you have a way to pick up and/or store the grain the day it arrives at the brew house.
I do know that we're not just storing it. Our agreement was that if we could find a use for it as a club then we'll keep it and make it available for use. If we can't find a use for them then they aren't going to stay.
I understand there is a chance it might get used at some point, but if we are going to be telling regular homebrewers that there is no room to store their grain, or they have to pay a premium to do so, it might not be the best use of space. Just my two cents, maybe it makes no difference.
A) The double boiler is being moved into the brew space next to the gravity system
B) If I can't get it up and running in 2 weeks away it goes
C) The 25 gallon gravity system I want to have running by next Sunday....
Some more screenshots. I got a ton done this weekend, we're at just above 1,000 lines of code (not including comments). I have made it so the system can track multiple group buys and allow moderators to manage them independently. This way we can do several throughout the year without the need to reset every time.
We can also add a set of fees to every item (as shown below). Right now I have added a percentage fee of 2.9% to every order to cover the cost of our payment processors (both Paypal and Stripe charge 2.9%). We also have added $3.00 to each item as Dave had commented that in the past it was about $2.90 per item to cover the charge of the pallet, materials, and freight.
At this point what I need from people are comments on the things you see below. All I have left is finishing up a system that allows the group buy manager to track the orders and see who has ordered what. Most of the backend code for that is done, I just need to write a front-end. I'm going to need some people to do some beta testing for me probably later this week. Don't worry, I have some fake credit card numbers that our processor (Stripe) can use so you can even go all the way to checking out and finishing your purchase. So I was talking with Dave yesterday and discussing the non-grain items on the South Holland list. Dave orders things for Horse Thief regularly and says that they're often out of the non-grain items. If we want to include the other items someone is going to have to go through and check the availability of these things and then refund people's money for the stuff that isn't available. Additionally, that also means that we're going to need to have a waiting list for extras as that may cause a pallet to go unfilled. It sounds like they almost always have all of the grain, and this is part of the reason we limited it to just grain in the past. Does anyone have any thoughts? Its more manual effort for us to allow people to get other stuff but coudl be nice if someone is willing to do the legwork. Let me know your thoughts.
On a second note, Dave was able to share some thoughts with me about testing the system, has anyone else had a chance?
What about a separate order for non grain? Then someone can pick up the non grain items for no charge when near there? Might be an easy way to keep the pallets for grain only and know where our cut offs are?
I think this is a great idea and one that is easily implemented at this point. When I developed the system it was to allow multiple grain buys, not necessarily to do at the same time, but to allow many to occur over the year. Thankfully there's no reason we can't just do two at the same time and that seems to make a great deal of sense to me.
So it looks like a couple people have gotten to test the system, I've also tested it a fair amount (although that's not worth much since I'll do it the "right" way every time). I don't want to start the two group buys until people are comfortable with getting them going as I want to make sure we minimize issues.

I thnk we should keep this order to 1 pallet. We can do orders more frequently that way.
I have a feeling we're going to have some pent up demand and keeping it to 1 pallet may be tough.

If space is so limited, why are we we becoming a storage facility for large-scale brewing equipment?
The idea is to use that three tier system for group brews. I have no idea what the story is with the 30 gallon pot that was dropped off last night.
